Are you an experienced Administrative Assistant with a desire to excel? If so, then Talent Software Services may have the job for you! Our client is seeking an experienced Administrative Assistant to work at their company in Redmond, WA.

Position Summary: The team supports multiple managers (2-3) in a fast-paced, changing environment, focusing on administrative and team support functions.Involvement in multiple projects, supporting sales teams, and adapting to organizational restructuring and fiscal year changes.

Primary Responsibilities/Accountabilities:

  • Provide comprehensive support to M2 managers, including calendar management, travel arrangements, and expense reports.
  • Assist with their direct reports as needed.
  • Offering larger team support, including organizing morale events, onboarding and offboarding new hires, and procuring goods and services such as computer equipment, office supplies, and reference materials.
  • Manage asset tracking and facility requests.
  • Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in all communications and interactions.
  • Build and maintain strong business relationships with executive-level and counterpart administrative staff both internally and externally.
  • Typical Task Breakdown & Operating Rhythm: Tasks include supporting managers, handling administrative duties, adapting to changes, and working in a hybrid (on-site and remote) model with an expected three days on-site. The role requires agility and the ability to manage multiple priorities.

Qualifications:

  • Years of Experience Required: 2 to 4 years preferred, but candidates with more experience (e.g., 10-12 years) may also be considered if they are adaptable.
  • Degrees or Certifications Required: No degree or certifications required.
  • Top candidates are agile, personable, passionate about support, and able to adapt to change; average candidates may have experience but lack the necessary interpersonal or adaptability skills.
  • Team/Manager Support Experience: Minimum 2 years supporting multiple managers or large teams in a fast-paced environment.
  • Administrative/Customer Service/Recruiting Background: Minimum 2 years in roles requiring high interaction, agility, and service orientation.
  • Proficiency with client's Products: Experience is a plus, but not strictly required; ability to learn internal tools is valued

  • Capable of managing multiple projects simultaneously, actively tracking pending items, and constantly reprioritizing tasks based on changing business needs.
  • Strong interpersonal skills, integrity, self-awareness, and excellent customer service skills.
  • Proven track record of excellent judgment, problem resolution, teamwork, negotiation, budgeting, analytical skills, decision-making skills, and the ability to work under pressure.
