Job Description

Provide legal/administrative support to the VP of International Legal Affairs, and Immigration Counsel, on international immigration matters and, as needed, on domestic immigration cases.

Essential Functions

• Responsible for coordinating with other departments and collecting and compiling information necessary for employee immigration applications related to international tours. This process is high volume and time sensitive. Responsibilities include review and proofreading of gathered information to ensure all data gathered is accurate and complete.
• Responsibilities include filing work permits, scheduling of visa appointments and providing travel instructions as needed.
• Manage and maintained detailed and accurate tracking spreadsheets, and other relevant immigration tracking documents/file for high volume of cases.
• Manage the preparation and processing of supporting aspects related to immigration case filings, such as check requests, assembly of petition package materials, and express mailing.
• Assist with the preparation, filing, and tracking of Form I-129 nonimmigrant petitions for company employees.
• Assist supervisor and legal team with overflow legal matters as requested.
• Travel to embassies and consulates in Washington D.C. as necessary to complete visa applications or other related documentation.
• Assist counsel with document and file maintenance, photocopying / scanning, and mail.
• Ability to communicate with touring personnel operating across various global time zones for purposes of scheduling, and completion of time-sensitive information and documentation for immigrations.

Qualifications

• College degree: paralegal/legal assistant degree / experience preferred.
• Experience preparing and filing immigration cases, and the scheduling of visa appointments is preferred.

Skills & Abilities

• Ability to independently and accurately manage tracking documents and Excel spreadsheet on the immigration status of employees.
• Ability to prepare error free immigration case related material in a high-volume environment.
• Available to work fluctuating hours to communicate with touring personnel working in different global time zones.
• Must comport oneself in a professional manner (both within the company and externally), and to be flexible in responding to work demands.
• Ability to exhibit /practice business discretion due to the confidential nature of work.

International Touring Personnel

To the extent international touring personnel are visiting a jurisdiction that requires vaccination, proof of vaccination in accordance with the relevant international law should be submitted directly to either the Tour Manager or to Human Resources at least six weeks prior to the start of the tour.  The Company will maintain all information regarding vaccination status as confidential in accordance with applicable laws.  The Company cannot guarantee employment for any Associate who is unable to satisfy foreign entry requirements.  Mitigation Guidelines for touring employees will remain in effect until further notice as do applicable venue, local, state and/or international requirements, rules, regulations and/or laws, if any.
