Position Overview: We are seeking a highly skilled and versatile Personal Assistant to provide comprehensive support to the CEO of a dynamic and fast-paced organization. This role goes beyond traditional administrative tasks and requires a candidate who can seamlessly manage various responsibilities in a rapidly evolving environment. The ideal candidate will possess exceptional organizational skills, the ability to prioritize and multitask effectively, and a deep understanding of the unique demands of supporting a high-profile executive.
This position requires frequent travel, often on short notice, and demands a high level of flexibility and adaptability. The ideal candidate will embody our high professionalism standards in communication and appearance.
This is a 6-month temp-to-perm entry-level position that offers a unique opportunity for a driven individual eager to develop their professional skills across varied sectors. Upon successful completion of the temporary period, an increase in pay will be provided .
Key Responsibilities:
- Day-to-Day Management: Coordinate and manage daily schedules, including meetings, appointments, and personal commitments, ensuring all activities are aligned and on time.
- Event Planning and Venue Sourcing: Research and book venues for various events, workshops, and public appearances. Assisted in planning and coordinating events to ensure they ran smoothly.
- Podcast Production Support: Assist in the setup and organization of podcast recording sessions, including managing equipment, liaising with technical teams, and ensuring the environment is optimal for high-quality production.
- Content Coordination: Manage content creation schedules, including social media posts, video shoots, and live broadcasts. Ensure all content is produced and posted on time.
- Travel Coordination: Arrange travel itineraries, accommodations, and transportation for domestic and international trips. Being able to travel on short notice is mandatory.
- Brand and Public Relations Support: Coordinate with PR teams, manage media requests, and assist with public appearances to maintain the CEO’s personal brand.
- Photo Shoot Management: Set up and coordinate photo shoots, including sourcing locations, managing schedules, and working with photographers and other creative professionals to ensure a seamless process.
- Conference and Event Attendance: Attend all conferences, events, and public appearances with the CEO, providing on-site support as needed.
- Errands and Personal Support: Handle personal tasks as needed, including shopping, managing household appointments, and ensuring all personal commitments are met.
- Client Communication: Communicate with high-profile clients on behalf of the CEO, ensuring all interactions are handled with the highest level of professionalism.
- Professional Appearance: You will be representing the CEO in various public and professional settings, so maintain an extremely professional appearance at all times.
Required Skills and Qualifications:
- Adaptability: Must adapt quickly to changing priorities and manage multiple tasks simultaneously in a fast-paced environment.
- Tech-Savvy: Must be proficient with social media platforms and the ever-changing digital technology landscape. Comfortable with setting up and troubleshooting podcast equipment, as well as using social media platforms and scheduling tools.
- Attention to Detail: High attention to detail, ensuring all tasks are completed accurately and efficiently.
- Strong Communication Skills: Must have excellent verbal and written communication skills, as you will be communicating with high-profile clients regularly.
- Proactivity and Problem-Solving: Must be proactive, a natural problem solver, and have strong situational awareness. The ability to anticipate needs and address potential issues before they arise is mandatory.
- Discretion and Confidentiality: Must maintain the highest level of discretion and confidentiality at all times.
- Travel Flexibility: Must be willing and able to travel on short notice, both domestically and internationally. This requirement is mandatory.
Preferred Experience:
- Previous experience working with high-profile individuals or within the entertainment industry.
- Background in event planning, content creation, and public relations is a plus.
- A valid passport or the ability to acquire one is preferred.
- Proven experience as a Personal Assistant, ideally in the entertainment or influencer industry, with a minimum of 2-5 years in an Administrative Support Role.
- Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Strong communication skills, both written and verbal, with proficiency in social media platforms and office software.
- Flexible schedule with the ability to travel and work irregular hours.
- Tech-savvy, proficient in MS Office, Google Docs, Asana, Kartra, etc.
- Bachelor's Degree preferred but not mandatory.
- Must have a valid driver’s license with a clean driving record and the ability to travel.
- Must pass a comprehensive background check and drug test.
